The Situation
South Beach Aperitivo was born during COVID when two founders asked a simple question: why didn't the Aperitivo category — so synonymous with coastal living in Europe — exist in Western Australia? Five years on, they had built WA's first Aperitivo brand and grown a real business. But the systems, processes and reporting hadn't kept pace. The back-office was creating friction, month-end was manual and time-consuming, and the founders didn't have the financial visibility they needed to make confident decisions about where the business was heading.
The Opportunity
Metric was engaged to bring structure, automation and clarity to South Beach Aperitivo's finance function — systemising accounts payable and receivable, automating excise tax obligations, building a management reporting framework that reflected how the business actually operated, and giving the founders a clear, monthly view of performance against plan.
The Solution
Accounts payable and receivable - systemised
Implemented Dext and Paidnice to automate invoice data extraction and aged debtor follow-up. Removed the manual burden from AP and AR processing so the team could focus on running the business rather than chasing paperwork.
Management reporting built around how the business actually works
South Beach operates through a wholesaler distribution model, which creates a disconnect between Xero sales data ("sell in") and what is actually moving through to venues ("sell out"). Metric built a semi-automated, consolidated dataset using Airtable and Xero integration — capturing rate of sale, price and SKU performance at an account level, accessible across desktop, tablet and phone.
Variance reporting against budget
Supported budget builds and customised reporting to track not just financial variances but the operational drivers behind them — number of active accounts, average order size, average revenue per SKU. Monthly review meetings shifted from reviewing numbers to understanding what was driving them and what to do about it.
Excise tax - automated
Using the same Airtable dataset built for management reporting, automated the monthly calculation of litres of alcohol sold. This materially reduced the time required to complete excise tax lodgement at month end — turning a manual, error-prone process into a reliable, near-automated one.
